Executive Assistant

Role Overview

We are seeking an experienced, SC-cleared Executive Assistant to provide high-quality executive and administrative support to senior leaders and Directors across a complex Information, Digital & Data Services environment.

The successful candidate will work closely with senior stakeholders, providing proactive diary, meeting, correspondence and governance support while helping executives manage competing priorities across a fast-paced government portfolio.

Key Responsibilities

  • Provide dedicated EA support to Executives, Directors and senior leadership, acting as a trusted and professional point of contact.
  • Manage complex and frequently changing diaries, meetings and appointments, proactively resolving scheduling conflicts.
  • Coordinate senior-level meetings, governance forums, boards and leadership sessions, including agendas, papers, actions and follow-up.
  • Manage correspondence, briefings, submissions and information requests, ensuring deadlines and priorities are effectively managed.
  • Coordinate meetings involving senior internal and external stakeholders across information, digital, data and technology services.
  • Support preparation of presentations, briefing packs, reports and other executive-level documentation.
  • Manage travel, logistics and expenses where required.
  • Maintain accurate records and appropriately handle sensitive and security-classified information.
  • Track key actions, decisions and commitments on behalf of senior leaders, ensuring appropriate follow-up.
  • Build strong working relationships across Directorates, Private Offices, programme teams and corporate functions.
  • Provide flexible support across the wider senior leadership team during periods of high demand.

Essential Skills & Experience

  • Demonstrable experience providing Executive Assistant, Private Office or senior administrative support at Director/Executive level.
  • Experience working within Central Government, wider Public Sector or another complex, highly regulated organisation.
  • Strong diary and inbox management skills, with experience supporting multiple senior stakeholders and competing priorities.
  • Excellent written and verbal communication skills, with confidence engaging with senior officials and executives.
  • Strong organisational skills with the ability to work independently, prioritise effectively and operate at pace.
  • Experience coordinating senior governance meetings, producing papers, recording actions and tracking outcomes.
  • High level of discretion and sound judgement when handling confidential or sensitive information.
  • Strong Microsoft 365 capability, particularly Outlook, Teams, Word, Excel and PowerPoint.
  • Active SC security clearance with the ability to work within a security-sensitive government environment.

Desirable Experience

  • Previous experience supporting senior leaders within Digital, Data, Technology, Information or Cyber functions.
  • Experience operating within a Government Director/Director General-level office or Private Office environment.
  • Understanding of government governance, briefing, correspondence and decision-making processes.
  • Experience working across large-scale digital transformation or technology programmes.
