Role Overview

We are seeking an experienced Executive Assistant to provide high-quality executive and administrative support to senior leaders, including Executives and Directors within a Digital, Data & Technology (DD&T) function.

Operating within a fast-paced and complex Central Government environment, the Executive Assistant will play a key role in enabling senior leaders to operate effectively, managing competing priorities and providing proactive coordination across meetings, governance, stakeholders and wider business activity.

The successful candidate will be highly organised, adaptable and comfortable working with senior stakeholders in an environment where priorities can change quickly.

Key Responsibilities

  • Provide comprehensive Executive Assistant support to Executives, Directors and senior DD&T leadership.

  • Manage complex and frequently changing diaries, meetings, appointments and priorities.

  • Coordinate senior-level meetings, governance forums, leadership sessions and stakeholder engagements.

  • Prepare meeting agendas, briefing packs, papers and supporting documentation.

  • Track actions and decisions, ensuring appropriate follow-up and completion.

  • Manage correspondence and communications on behalf of senior leaders, exercising discretion and judgement.

  • Coordinate across DD&T teams and wider corporate/government functions to ensure information flows effectively.

  • Support planning and prioritisation of senior leadership activity against key departmental objectives.

  • Arrange travel, accommodation and associated logistics where required.

  • Identify diary conflicts, risks and competing priorities proactively, recommending appropriate solutions.

  • Handle sensitive and confidential information appropriately within a security-conscious environment.

  • Build strong relationships with Private Offices, senior leadership teams and internal/external stakeholders.

  • Provide additional business management and administrative support across the leadership function as priorities require.

Essential Skills & Experience

  • Proven experience providing Executive Assistant, Personal Assistant or Private Office support to senior executives, Directors or equivalent leadership.

  • Experience operating within a large, complex and fast-moving organisation.

  • Excellent diary, meeting and priority management skills.

  • Strong organisational skills with the ability to manage multiple competing demands.

  • Excellent written and verbal communication skills.

  • Confident engaging with senior executives and stakeholders at all levels.

  • Strong attention to detail and ability to work effectively under pressure.

  • Proactive approach with the judgement to anticipate requirements and resolve issues independently.

  • High levels of discretion when handling sensitive or confidential information.

  • Strong Microsoft Office / Microsoft 365 capability, particularly Outlook, Teams, Word, Excel and PowerPoint.

  • Ability to adapt quickly to changing priorities and requirements.

Desirable Experience

  • Previous experience within Central Government, Public Sector or another highly regulated environment.

  • Experience supporting senior leaders within Digital, Data & Technology (DD&T), transformation or technology programmes.

  • Understanding of Government governance, Private Office or senior leadership environments.

  • Experience coordinating senior governance boards, leadership meetings or cross-departmental activity.

  • Current or recent SC security clearance.

Security Clearance

The successful contractor will be required to hold or obtain Security Check (SC) clearance. Candidates with existing active SC clearance would be advantageous due to the requirement to mobilise quickly.

This role would suit an experienced Executive Assistant who is proactive, highly organised and comfortable operating with autonomy. The individual will need to build credibility quickly with senior DD&T leaders, remain composed when priorities change and provide a consistently high standard of executive support within a complex Central Government environment.
